Bank details and invoice branding

An invoice has to do two jobs: tell somebody what they owe, and make it easy to pay. The second one is entirely a matter of settings, and they are not where most people go looking for them.

The two places called Settings. The sidebar one, on the left, is company details and your account. Invoice branding and bank details are on the second tab of Invoicing, on the right.

The split is not arbitrary. Settings → Company holds facts about the business: its name, address, phone number, company number, whether it is VAT registered and its VAT number. Invoicing → Settings holds everything about the document: how it looks, what it says at the bottom, and how somebody pays it.

Invoicing on its Settings tab. The BACS card carries a red badge until both required fields are filled, and nothing on the page saves until you press Save changes at the bottom.

The BACS block

This is the card to fill in first, because CleanFlo will not let you raise an invoice without it. Until both required fields are saved, the card carries a red badge reading Required to create invoices, an amber gate appears above the invoice ledger reading BACS payment details required, and both Create Invoice and Invoice Now bounce you back here instead of opening the drawer.

The BACS Payment Details card. Two of the four fields are required, and pressing save without them gives you the reason rather than a silent failure.
Bank name
Optional. Placeholder e.g. Barclays. It prints as Bank on the document, and it is worth filling in: it reassures a nervous payer that they are looking at the right account.
Account name
Optional. Placeholder e.g. Star Cleans Ltd. It prints as Account Name. Banks now check the name a payer types against the name on the account, so this needs to be exactly what your bank has, not your trading name.
Sort code
Required. Placeholder 20-00-00. It prints as Sort Code. Free text, so type it in whatever form you want your clients to see.
Account number
Required. Placeholder 12345678. It prints as Account No., with the full stop.

Each of the four is only printed when it has a value, so a half-filled block does not leave empty labels on the page. What is always printed, whatever else is missing, is the reference.

The payment reference

At the bottom of the BACS block sits a fifth row you never fill in: Reference, holding the invoice number. Under the grid, one sentence spells it out, with the number in bold: Please quote INV-2026-004 as the payment reference so we can match your payment to this invoice.

The finished document with its BACS block. The reference is the invoice number again, printed in the accent colour, and it is the only field on the page a payer has to copy by hand.

It looks redundant. The invoice number is already unique, and it is already printed at the top of the page beside the word INVOICE. The reason it appears twice is that until it was labelled as the reference, nobody quoted it. A client would look at the bank details, type your sort code and account number into their banking app, put "cleaning" in the reference box, and send the money. It arrived, and there was no way to tell which invoice it was for.

That is the whole mechanism. There is no payment link, no card processing, no direct debit and no bank feed inside CleanFlo. Matching a BACS payment to an invoice is a human reading their bank statement, and the reference is what makes that possible in seconds rather than by comparing amounts.

Templates, colour and logo

The first card on the tab is Template & Branding, subtitled Choose how your invoices look when printed or sent to clients. It offers three layouts, shown as small thumbnails you can pick between.

The three invoice templates and the accent colour. The colour is the only thing that changes across all three, so picking a template and then picking a colour is the whole of the branding decision.
Classic
Described in the app as Bold full-width header. Your company name and address sit in white on a full-bleed band of your accent colour, with the word INVOICE and the number on the right. The most conventional of the three.
Modern
Accent lines, clean layout. A white header with your company name in the accent colour, the word INVOICE large on the right, and a rule underneath. This is also the layout every quote uses, whatever you pick here.
Minimal
Pure white, editorial. No band, no colour block. Your name uppercased, address and phone joined into one line, and a hairline rule. Reads as a letter rather than a form.
Accent colour
A colour picker and a hex box that stay in step. The default is #0E7490, a dark teal. It colours the header band on Classic, the company name and the word INVOICE on Modern, and the rule above the total on all three.
Invoice font
Four options shown as an "Aa" sample each: Modern, Clean, Classic and Mono. Classic is a serif and Mono is a typewriter face, which some firms use because it photocopies and scans without ambiguity.
Company logo
PNG, JPG or WebP, up to 2 MB, uploaded by pressing the dropzone. It prints at the top of every invoice and every quote. Once uploaded you get Replace and Remove beside it.

The Preview button in the corner of the card opens a modal headed Template Preview showing your choices applied to a dummy invoice with two line items, so you can see the effect before you save. It does not use one of your real invoices.

Defaults and display options

Two smaller cards sit between the branding and the bank details. Document Defaults is subtitled Pre-filled values used when creating new invoices, and it decides what a new invoice starts with rather than changing anything that already exists.

  • Invoice number prefix, up to ten characters, defaulting to INV. Change it to CLN and your next invoice is CLN-2026-005. The year and the sequence are not yours to set.
  • Currency symbol, picked from £, $, €, A$, C$ and CHF. It changes the symbol everywhere money is shown, including the CSV export headers.
  • Default payment terms, one of 7, 14, 21, 30, 60 or 90 days. This is what the Due Date on a new invoice is calculated from. The default is 14 days.

Display Options. Two switches worth of decision: what size paper the document is laid out for, and whether the quantity column is printed at all.

Turning Show quantity column off removes Qty from the printed document only. It stays in the editor and the arithmetic is unchanged: four visits at £130 is still £520 net, it is just presented as one figure rather than as four of something.

The last card is Invoice Footer. One optional textarea, whose placeholder suggests e.g. Thank you for your business. Payment terms: 14 days. Whatever you type prints centred in small italics at the foot of every invoice, above a hairline rule, and on every quote as well.

There is no built-in thank-you line anywhere in CleanFlo. If your invoices are to say anything friendly at the bottom, this is the only field that will say it. It is also the sensible home for anything that has to appear on every document: your company registration number, a late-payment clause, a note that all cleaners are DBS checked, or a reverse-charge wording your accountant has given you.

When you are done, the save bar at the foot of the tab has two buttons: Discard, which puts everything back to how it was when the page loaded, and Save changes. A tick and the word Saved appears beside them when it lands. Nothing on this tab saves as you type.

The one thing that is somewhere else

Your VAT number is not on this tab. It lives with the rest of your company identity, on Settings → Company, behind a switch labelled VAT registered. Turn the switch on and a VAT number field appears beneath it, with the placeholder GB123456789.

Two conditions have to be met before it prints. The company must be marked as VAT registered, and a number must be stored. Meet both and a line reading VAT No: followed by your number appears under your address on every invoice and every quote, in all three templates. Miss either and the line is simply not drawn, with no warning.

The same split applies to your address and phone number, which also print on the document and are also edited on the Company tab. If your header looks wrong, that is where to go. If the bottom half of the page looks wrong, you are in the right place here.

Common questions

Why can I not find invoice settings on the Settings screen?
Because they are not there. The Settings screen in the sidebar has four tabs: Company, My Account, Billing and Data Export. Invoice branding, bank details, number prefix, payment terms and the footer are all on the Settings tab inside Invoicing, which is the second tab at the top of that page.
Can I put a QR code or a pay-now link on the invoice?
No. CleanFlo does not take payments and there is no payment link, no card processing and no direct debit. The BACS block and the payment reference are how an invoice gets paid, and the reference is what lets you match the money to the invoice afterwards.
I changed my accent colour. Do old invoices change too?
Yes, if you reopen or reprint them. The template, colour, font and logo are read fresh each time the document is drawn rather than being saved onto it. The numbers, dates and line items never change, only the appearance.
Do these settings apply to quotes as well?
Mostly. Quotes use your accent colour, your font, your logo and your footer. They always use the Modern layout, whichever template you have chosen for invoices, and they never print the BACS block: a quote is not asking for money.
Can I have two different bank accounts for different clients?
No. There is one set of BACS details per company and it prints on every invoice. If you genuinely need two, the invoice notes field is the only per-invoice place to say so.
