Your plan and your bill
CleanFlo is one price with one plan behind it. There are no tiers to compare and no per-cleaner maths to do, so this guide is mostly about the four or five moments when billing actually asks something of you.

£9.99 a month. That is the whole price list. It covers unlimited staff, unlimited clients and unlimited locations, every feature in the product, and the cleaner app in all 27 of its languages. Adding your fourth cleaner costs the same as adding your fortieth, which is deliberate: charging you more for growing is the thing this product exists to argue against.
What you are paying for
There is one plan and no plan picker anywhere in the app. Everything in the sidebar is included from day one: scheduling and dispatch, clients and locations, staff time tracking and the mobile app, invoicing with VAT, health and safety, reports, inventory and support. Nothing is held back behind a higher tier, because there is no higher tier.
The figure does not move with the size of your team. When CleanFlo sends you to the checkout it asks Stripe for one subscription at one price, quantity one, and there is no seat count in it. Deactivating a cleaner does not reduce your bill and adding one does not raise it.

The 14-day trial
Every new company gets 14 days free with full access. Nothing is limited during the trial: it is the whole product, not a sample of it.
A card is required to start it. The last step of the setup wizard hands you to Stripe's secure checkout, where you enter card details, and the app says so on the screen before it sends you there rather than springing it on you one page later. Nothing is charged for those 14 days. The first payment is taken at the end of them, and if you cancel before that you pay nothing at all.
You can press I'll do this later on that step, and the wizard tells you what that means: "CleanFlo needs an active trial or subscription to open, so you'll be asked again on the way in." The app does not run on an account with neither.
The checkout accepts promotion codes, so if you have been given one there is a box for it on Stripe's page rather than anywhere in CleanFlo.

Everything about your subscription lives on one tab. Open Settings and pick Billing, the third of the four tabs. The heading reads "Billing & Subscription" and the sub-line "Manage your CleanFlo subscription and payment details."

The card itself is short: the plan name, the price, and a badge on the right saying where the subscription stands. Underneath, one line of context that changes with the badge.
There is one button, and which one you get depends on whether you have been through Stripe before. A company that has is offered Manage Billing, which opens the Stripe portal in a new tab. A company that has not is offered Start Free Trial, which sends you to the checkout.
What the Stripe portal is for
CleanFlo does not store your card. It never sees the number. Everything to do with the payment method itself happens on Stripe's own hosted pages, which is what the fine print under the button means by "Billing managed securely by Stripe".
CleanFlo's own fine print says what the portal is for: "Update payment methods, download invoices, or cancel your subscription from the billing portal." So it is where you change the card on file, pull off the receipts Stripe has issued you for CleanFlo itself, and cancel. When you are finished it returns you to Settings → Billing.
Note the two things that are not in CleanFlo: there is no in-app cancel button, and there is no invoice history table on the Billing tab. Both live in the portal, on purpose, because they are Stripe's records rather than ours.
If a payment fails
Cards expire and banks decline things. When a payment fails, three things happen and none of them involve deleting anything.
- The badge on Settings → Billing turns to Payment Failed, and a red warning line appears under the plan card.
- Access to the app is paused. Only a subscription that is trialing or active opens CleanFlo, so the next time you sign in you land on a payment screen instead of the dashboard.
- Your cleaners see a plain notice rather than a bill. Their screen reads "Access Suspended" and tells them to contact their manager.
The screen you land on when you sign in is headed Payment required, and it says exactly what the situation is: "Your last payment failed. Update your payment method to restore access — your data is untouched and waiting." The button reads Update payment method, and underneath it a line tells you where it goes before you press it: the Stripe billing portal, to change the card on file and retry the payment.
You will be taken to the Stripe billing portal, where you can change the card on file and retry the payment.
Fix the card and the app opens again on its own. Stripe tells CleanFlo the subscription is healthy, usually within a couple of seconds, and the paywall stops appearing. There is nothing to email us about and nothing to reactivate.
Cancelling
You can cancel at any time, and you do it in the Stripe portal: Settings → Billing → Manage Billing, then cancel there. No notice period, no phone call, no retention conversation.
Cancelling does not cut you off that afternoon. The subscription runs to the end of the period you have already paid for, and CleanFlo only marks it Cancelled when Stripe reports that it has genuinely ended. Until then everything works normally. Cancel during the trial and you are never charged at all.
After that, the app stops opening and shows you a screen headed Subscription ended, offering to resubscribe at £9.99 a month. Your records stay exactly as they were. If you come back a year later, everything is still there.
Before you go, take your data with you. Every list in CleanFlo has an Export CSV button, and Settings → Data Export will hand you the whole lot: clients, locations, jobs, invoices, staff and services, either one table at a time or as a single combined file.
One thing worth separating in your head: the £9.99 you pay us has nothing to do with the VAT settings on your own invoices. Your VAT registration, your VAT number and the tax on the invoices you send your clients are all configured under Settings → Company and Invoicing → Settings, and none of it changes what CleanFlo charges you.
