What CleanFlo is
CleanFlo runs a cleaning business out of one place: the jobs, the people who do them, the sites they happen at, the paperwork that follows, and the invoice at the end. This is the tour.
On this page
Most cleaning companies of three to fifteen cleaners are run out of four things at once: a WhatsApp group, a paper rota, a spreadsheet of clients, and the owner's memory. It works until it does not. A cleaner does not know where to be, a job gets done and never invoiced, and a client asks for a risk assessment on Friday afternoon.
CleanFlo replaces those four things with one system. There are two halves to it: a web app for you, and a phone app for your cleaners. They are the same product looking at the same jobs from two ends.
What you see when you log in
The dashboard answers one question: what needs me today. It opens with the day's money and the day's work, then everything that is waiting on a decision.
Thursday 13 August 2026 · Here's an overview of your business today.
Everything hangs off the sidebar
The sidebar is grouped the way the work actually splits: the day first, then the people, then the business, then compliance, then your account. It never changes, so after a week you stop reading it.
Two things sit above the sidebar rather than in it. Search everything… at the top, or ⌘K from anywhere, searches clients, staff, jobs, inventory, services, incidents, audits, risk assessments and these help articles at once. The bell beside it is every notification the system has raised.
The week, on one screen
The Schedule is where most of the day goes. Jobs sit on a grid of the working week, coloured by what state they are in, and a red line runs across the current time so you can see at a glance what should be happening right now and whether it is.
A job carries a client, a site, a start time, a duration, the services being charged for, a checklist, and a cleaner. Book it once and it exists in three places at the same time: on your grid, on that cleaner's phone, and in the pile of completed work that invoices are raised from at the end of the month.

The half your cleaners hold
Your cleaners never see the screens above. They get a phone app with their jobs on it, the checklist for each one, and a way to say it is finished. It is in 27 languages, matched automatically to whatever language their phone is set to, and it keeps working when the signal does not.
The paperwork the work produces
Two documents come out of CleanFlo and go to a client: a quote before the work and an invoice after it. Both are built from the same catalogue of services, so the price you quoted is the price that gets billed unless you change it on purpose.
The invoice is a proper UK VAT invoice. It carries your VAT number, per-line VAT, the totals broken out, and your BACS details with the invoice number repeated as the payment reference. That last field exists because payments used to arrive with nothing to match them against.
| Description | Qty | Unit Price | VAT | Amount |
|---|---|---|---|---|
| Weekly communal clean · Flat 4B | 4 | £85.00 | 20% | £408.00 |
| Stairwell deep clean | 1 | £140.00 | 20% | £168.00 |
| Consumables restock | 1 | £32.50 | 20% | £39.00 |
Please quote INV-2026-014 as the payment reference so we can match your payment to this invoice.
Alongside the money sits the compliance side: risk assessments on a 5×5 hazard matrix, incidents, scheduled audits, and a live score out of 100 built from all three. That is the folder a client asks for when they are deciding whether to give you the contract, and it is the reason it is worth keeping up to date before anyone asks.
What it replaces
| What you use now | What it becomes in CleanFlo |
|---|---|
| A WhatsApp group for the rota | Jobs assigned to a cleaner, who is notified automatically |
| A paper rota on the office wall | The Schedule, in agenda, day, week or month |
| A spreadsheet of clients and addresses | Clients, each with their locations and access notes |
| Invoices typed up from memory on a Sunday | Invoices raised from the jobs that were actually completed |
| A folder of risk assessments nobody can find | Health & Safety, with a live compliance score |
| "Have we got any more blue roll?" | Inventory, with a stock level and a low-stock warning |
What it costs
One price: £9.99 a month, with unlimited staff, clients and locations. There are no per-cleaner tiers, because charging you more for growing is the thing this product exists to argue against. The first 14 days are free with full access.
