Editing, deactivating and removing staff
People join, people leave, and people lose their password on a Tuesday morning with three jobs booked. All three are handled from the same four buttons at the end of a row in the Team Directory.

Open Staff and hover any row. The actions sit at the right-hand end, and clicking one of them does not open the person's page: they are deliberately separated from the row click so you cannot deactivate somebody by aiming badly.

Editing somebody
The Edit Staff Member sheet is short on purpose. There are three fields: Full Name *, then a two-up row of Phone and Job Title, both marked optional. Leaving the job title blank puts them back to "Cleaner" wherever it is shown.
Change the name and an inline note appears reading "Their jobs stay with them. Past jobs keep Joanne Reid on the paperwork, which is what your records should show." That is the behaviour you want: a marriage, a correction or a nickname does not rewrite what was signed off six months ago. Saving confirms with a toast reading Staff member updated, and an empty name is refused with "Full name is required."
When somebody cannot get in
This is the most-used button on the screen and the least understood. Resend Login does not resend the old password. It sets a new one and emails that, which means the old one stops working the moment you press the confirm.
- Press Resend Login on their row. A small sheet opens headed Resend Login Credentials.
- The line at the top reads "This will set a new password for Joanne Reid and email them their updated login details."
- A vault headed "Shown once — copy or send it now" holds a generated New Password, with buttons to show it, copy it or generate a different one. The hint underneath names the address it is going to.
- Copy it if you are going to read it out, then press Reset & Send Email. The button reads "Sending…" while it works.
- A toast confirms with Login credentials sent to Joanne Reid. If the email fails you get "Password reset but could not send email to Joanne Reid" instead, which means the password has already changed and you must give them the copied one.
Deactivating: the leaver setting
Deactivating is what you want for almost every departure. It closes the door and keeps everything else: the record stays on the Inactive tab, their job history stays intact, and their name stays on every job they ever did.
The dialog is titled Deactivate Joanne Reid? and the body reads "They will be signed out and will not be able to sign in again. A device they are already using loses access within the hour. You can reactivate them at any time." While it works out the numbers it shows "Checking their jobs…", and if that count fails it says so rather than guessing: "We could not check how many upcoming jobs are assigned to this person. Any that exist will remain in the schedule unassigned."
Confirming gives you a toast reading Joanne Reid deactivated and signed out. On the rare occasion the sign-out itself fails you get "Joanne Reid was deactivated, but we could not block their sign-in. Contact support." Their row now shows plain Inactive in the Last Active column, the row is washed back, and the action button reads Reactivate.
Reactivating asks Reactivate Joanne Reid? with the body "They will be able to sign in and appear in your team again.", and confirms with Joanne Reid reactivated. Their old password does not come back with them, so pair it with Resend Login.
Deleting: the one with no way back
Deleting removes the account and the login entirely. The dialog is titled Permanently delete Joanne Reid? and the body reads "This will delete their account and login. This cannot be undone." The confirm button reads Delete Permanently.
Underneath, a sky-blue callout counts what is affected: "171 historical jobs will keep their name for your records. Any upcoming jobs will be unassigned." If the count cannot be worked out it says "We could not check how many jobs carry their name. Existing jobs keep the name for your records; any upcoming ones will be unassigned." A toast confirms with Joanne Reid has been permanently deleted. The same dialog is on their own page, behind the header Delete button.

Either way, the jobs behave the same: nothing is cancelled and nothing disappears from your week. Upcoming work simply loses its cleaner and shows as Unassigned in red on the Schedule, so the practical next step after a leaver is always the same. Filter the Schedule for unassigned jobs and give them to somebody else before the day arrives.
