Job templates

If you book the same shape of job every week, a template turns eight fields and a six-line checklist into one click. It is the least glamorous thing in the Schedule and probably the biggest time saving in it.

A template is a saved job configuration with no client, no location and no date on it. It holds the parts that are the same every time, so that booking is only ever about the parts that are not.

The split is the point. Everything on the left is a decision about what the job is and it is the same for every standard home clean you ever book. Everything on the right is a decision about this particular booking and it changes every time.

The Job Templates sheet

Open it with Templates in the Schedule header. The button carries a small count badge once you have any. The sheet is titled Job Templates with Reusable job configurations underneath.

Each row shows a clipboard icon, the template name, and a line of meta beneath it: the duration written as 1h 30min, the default price, and the job type in lower case with its underscores taken out, so an end of tenancy template reads end of tenancy. After those come two small tags, 3 services and 6 checklist, which are the quickest way to spot the template you built properly against the one you abandoned half way through.

On the right of each row, Edit and a bin. At the foot of the sheet, one button: New Template.

Building a template

The template drawer is titled New Template with Create a reusable job configuration underneath, or Edit Template and Update template details when you came in from an Edit button. Four sections.

Template Details

Template Name *
The only required field, placeholdered e.g. Standard Home Clean. Save without one and the drawer says Template name is required at the top of the form. This name is what appears on the chip when you load it, so keep it short.
Job Type
A dropdown with six options: Residential, Commercial, Holiday Let, Deep Clean, End of Tenancy, Other. It sets the job type on any job built from this template.
Duration (mins)
In minutes, stepping in fifteens, defaulting to 60. This is the number that decides how tall the job chip is on the calendar and what the availability check measures against.
Default Price (optional)
A pounds-and-pence field, placeholdered 0.00. It is shown on the template row in the list.

Services, Add-ons, Checklist and Notes

These four are the same controls as the Add Job drawer, and they behave identically. Services and Add-ons are line pickers: a dropdown reading — Select — until you choose, then every catalogue item written as {name} · £{price}, a Qty box and an X, with Add Service and Add Add-on underneath. With nothing in your catalogue the section says No services set up yet. Add them in Products & Services. instead.

Checklist rows are plain text placeholdered Step 1, Step 2 and so on, added with Add Checklist Item and kept in the order you type them. This is usually the most valuable part of the whole template: writing a fourteen-step end of tenancy list once, properly, and never having to remember step nine again.

Last is Notes (optional), a textarea placeholdered Special instructions, reminders…. Notes on a template are for things that are true of every job of this kind, such as "bring the extension lead" or "always photograph the oven before and after". Anything specific to one address, like where the hoover is kept, belongs on the location record instead.

The footer is Cancel and either Create Template or Save Changes, showing Saving… while it writes.

Loading a template onto a job

Templates appear at the very top of the Add Job drawer, under a heading reading Load Template, as a row of chips with a clipboard glyph on each. One chip per template, in the order they were created.

The Load Template chips, the first thing in a new job. They are not shown when editing an existing job, because loading one would silently replace work already on it.

Clicking a chip fills in five things at once:

  • The job type.
  • The duration, replacing whatever was in the field.
  • The services and their quantities, replacing any already picked.
  • The add-ons and their quantities, the same way.
  • The checklist, and the notes, opening the notes box automatically if the template has any.

It leaves the client, the location, the dates and the cleaner exactly as they were, so the usual order of work is to click the empty slot on the grid, click the template chip, pick the client and location, and save. Three clicks and two dropdowns for a fully specified job with a checklist on it.

Everything is editable afterwards. A template is a starting point, not a lock: change the duration for a bigger flat, drop an add-on the client did not want, add two checklist steps for this site only. The template itself is untouched by any of it.

Editing and deleting

Edit on a row reopens the drawer with everything filled in. Saving updates the template for future use and changes nothing about jobs already booked from it: those jobs took a copy at the moment they were created and keep it. Put your prices up and the next job you book from the template gets the new figure, while the twelve already on the calendar keep the old one, which is almost always what you want.

The bin deletes it, after confirming: Delete the template "Standard Home Clean"? This cannot be undone. with a red Delete Template button.

Common questions

Can a template include the client and location?
No, deliberately. A template describes a kind of work rather than a particular customer, so one Standard Home Clean serves every house on the round. To repeat a specific booking including its client and site, open that job and use Duplicate instead.
How many templates can I have?
There is no limit, but the chips sit in one row at the top of the Add Job drawer, so past about eight they stop being quicker than filling the form in. Prune the ones you never click.
Why is the price on my job different from the template's default price?
Because a job is priced from its services, its add-ons and anything you typed into Additional charge. Default Price is shown on the template row as a reminder of what the job is worth; it is not applied. If the two disagree, the services on the template are the thing to fix.
Can I use a template with a repeat?
Yes. Load the template first, then set the Repeat pattern, then save. The template fills in the work and the repeat decides how many times it happens.
