A book of single visits is a different business from a round

A weekly round is built once and then defended. A book of one-off cleans is rebuilt every month, and every job on it started as somebody ringing to ask what an oven costs.

The lead, and the two days after it

Nearly every one-off job is won or lost on the reply. The enquiry inbox is built for that rather than for filing: a lead carries where it came from, the quote form on your website, your public page, a referral, your own hand, or a cleaner who was standing in the house when they saw the work, and it carries the address and the contact.

The filters are the follow-up. Never answered is its own state and only a lead nobody has touched is in it. Waiting over two days is a separate one, because a lead that got a holding reply and then nothing is the one that quietly dies. No quote raised, has a quote, has an estimated value and overdue follow-ups are the rest, and the whole set lives in the URL, so a narrowed inbox is a place you can come back to.

A cleaner already on another job can raise one from their phone by picking a type, with Oven or deep clean and Outdoors or garden among the six, and adding a note in their own language. It arrives with the client’s name, their email or phone, and the site address on it. If that client has no contact details on file the app refuses to start rather than queueing a lead nobody can answer.

Priced by the appliance, the property and the load

One-off work is quoted, not rated. What varies is not your hourly cost but what is actually in front of you: a range cooker rather than a single oven, a three-bed after a renovation rather than a kitchen, a driveway rather than a patio.

The services catalogue starts stocked, and four of its shelves are this trade’s. The deep-cleaning shelf is the same shape: 1 Bed Deep Clean at £90, 4+ Bed Deep Clean at £190, Spring Clean (Whole Home) at £140, Kitchen Deep Clean Only at £70. Gutters, jet washing and the rest of the exterior round sit on the window page’s own exterior section, because for most operators that work rides on a round rather than standing alone.

The scope nobody wrote down is the one that costs you

A site survey is the answer, and it is a record rather than a note. Walk the property, log the rooms, keep it against the client and the address, and raise the quote from it. The survey register shows which surveys turned into a quote and which never did, which is the one number that says whether walking sites is paying for itself.

This is the cleaning that carries real risk. Caustic oven cleaner in somebody’s kitchen, a ladder against a gutter, a pressure washer against old pointing, and a van leaving site with somebody else’s rubbish in it.

Risk assessments are scored on a 5×5 matrix, likelihood against severity, with the controls recorded and the residual score after them, and an unscored hazard is shown as unscored rather than quietly counted as low. They print to a clean A4 page, which is what a commercial client asks for. The method statement builder prompts for COSHH awareness, working at height, manual handling and site induction by name. Safety data sheets file in the compliance vault under their own document kind, with an expiry date and a warning thirty days out.

Waste is the part most operators do not realise is paperwork. Carrying away a load of builders’ waste is a duty-of-care transfer, and CleanFlo records it as one, with the carrier’s registration checked against the regulator’s own register rather than typed in and trusted. Your own public page is part of the £19.99, and the layout it offers this trade is built round the one thing that sells it. What this does not do

There is no online booking, and nothing takes your customer’s money for you. The quote form on your public page is an enquiry form: it lands in your inbox with the address and the job on it, and you reply. A deposit on a quote is an invoice you raise, not a payment CleanFlo collects.

There is no route optimisation. CleanFlo will not order your day by drive time or work out the shortest loop between four jobs, which is felt more here than on a round because the jobs are wherever they were booked.

Nothing knows about surfaces or chemicals. There is no surface-area calculator, no water usage figure, no drying or dwell time, no fibre chart and no product database. Our free chemical dilution calculator is on this site rather than in the app for that reason.

There is no post-construction module and there should not be. A builders’ clean is a job: quoted, surveyed if it needs it, scheduled, checklisted, photographed, invoiced, with the waste note behind it. What is different about it is the scope and the price, not the software.

Hours in reports are estimated from the job as scheduled rather than taken from a verified timesheet. Start and complete are a real record of when a job began and finished, and they are not evidence in a payroll dispute.

06 Can my cleaners show the customer the before and after?
